    What Managed IT Services Cost for a 10-50 Person Business

    The honest answer: "it depends" — but here's what it depends on

    If you've asked a few IT companies what they charge, you've probably gotten wildly different numbers. That's frustrating when you're just trying to budget. The good news: managed IT pricing isn't random. Once you understand the handful of things that actually move the price, you can read any quote intelligently and compare apples to apples.

    This guide is for owners and office managers at 5-50 person companies here on the South Shore and across Massachusetts who don't have a dedicated IT person and want to know what they're really paying for.

    First, a quick definition. Managed IT services means you pay a monthly fee to an outside company (a Managed Service Provider, or MSP) to run and support your technology — help desk, security, updates, backups, and planning — instead of hiring someone in-house or calling for help only when something breaks.

    How MSPs typically price their services

    Most MSPs use one of these models. Knowing which one you're looking at matters.

    • Per-user, per-month: A flat monthly fee for each employee, regardless of how many devices they use. This is the most common model today because people (not machines) are what generate support needs. Easy to budget as you grow.
    • Per-device, per-month: A fee per computer, server, or firewall. Can get complicated if staff use multiple devices.
    • Tiered/bundled packages: "Bronze/Silver/Gold"-style plans where each tier adds more services (like security monitoring or a virtual IT strategist).
    • Flat all-in monthly fee: A single number covering an agreed scope.

    For a 10-50 person business, you'll most often see per-user pricing, quoted as a range that tends to run from roughly the low-to-mid hundreds of dollars per user per month, depending on what's included. Take that as a general ballpark, not a promise — the real number lives in the details below.

    What actually drives your price up or down

    Here's where two companies of the same size can pay very different amounts.

    1. What's included in the scope

    A bare-bones plan (help desk plus basic monitoring) costs less than a comprehensive one that also covers cybersecurity, backups, and strategy. Watch for services that are billed separately on top of the "per-user" number, such as:

    • Cybersecurity tools and monitoring
    • Cloud backup and disaster recovery
    • Microsoft 365 or Google Workspace licenses
    • Firewall and network hardware
    • Phone systems (VoIP)
    • Project work (moves, upgrades, migrations)

    2. Your security requirements

    Security is the biggest swing factor today. Basic antivirus is cheap. A modern security stack — things like EDR (endpoint detection and response, software that watches devices for suspicious behavior), MFA (multi-factor authentication, the second login step like a code on your phone), email filtering, and 24/7 threat monitoring — costs more but is increasingly non-negotiable. If you carry cyber insurance, your policy likely requires several of these, which pushes plans toward the higher end.

    3. Your industry and compliance needs

    A medical office, law firm, financial advisor, or any business handling sensitive data has rules to follow (HIPAA, for example). Meeting them requires extra tools, documentation, and oversight — and that raises the price.

    4. The age and complexity of your systems

    Old servers, a patchwork of consumer-grade equipment, or a dozen niche software applications all take more effort to support. Clean, modern, cloud-based setups are cheaper to manage. An MSP may quote higher at first if your environment needs cleanup, then the cost stabilizes.

    5. On-site visits

    Remote support handles most issues today. But if you need regular in-person visits — say, at your office in Quincy or Weymouth — travel and on-site time can factor into the rate.

    6. Response time and coverage

    Guaranteed fast response times and after-hours or weekend coverage (spelled out in a Service Level Agreement, or SLA — a written promise of how quickly they'll respond) cost more than best-effort, business-hours-only support.

    What's usually NOT included in the monthly fee

    Budget surprises usually come from these. Ask directly:

    • Hardware — new laptops, servers, and firewalls are almost always separate purchases.
    • Software licenses — Microsoft 365, line-of-business apps, etc. Some MSPs bundle these; many pass them through.
    • Major projects — office moves, email migrations, or big upgrades are often quoted as one-time project fees.
    • Onboarding/setup — many MSPs charge an initial fee to document and stabilize your environment.

    A realistic way to estimate your budget

    Use this simple exercise before you talk to anyone:

    1. Count your users (people who need email and a login), not just full-time staff.
    2. List your must-haves: help desk, security, backups, and someone thinking ahead about your tech.
    3. Note anything special: compliance rules, old servers, industry software, multiple locations.
    4. Multiply users by a per-user range to get a rough monthly starting point.
    5. Add line items for licenses and expected projects.

    This won't give you an exact figure, but it turns "I have no idea" into a defensible ballpark you can sanity-check against real quotes.

    Cheaper isn't always cheaper

    The lowest monthly number can cost you the most. Common traps:

    • "Break-fix" pricing (paying only when something breaks) feels cheaper until a real problem — downtime, a ransomware attack, lost data — hits during your busy season.
    • Thin plans that exclude security or backups, leaving you exposed.
    • Vague scopes where everything useful is an add-on.

    The goal isn't the smallest invoice. It's predictable costs, fewer emergencies, and technology that supports your business instead of fighting it.

    Questions to ask before you sign

    • Is this per-user or per-device, and what exactly is included?
    • Are security tools like MFA and EDR part of the base plan?
    • Are Microsoft 365 or other licenses included or billed separately?
    • What's your guaranteed response time, and are after-hours issues covered?
    • Is there an onboarding fee, and what does it cover?
    • How are projects and new hardware quoted?
    • Is there a contract, and what happens if we want to leave?

    Get the answers in writing. A reputable MSP will happily walk you through the numbers rather than hide behind a single mysterious figure.
