When to Move Your Small Business File Server to the Cloud

The office file server: what it is and why you're wondering about it
If your business has a computer in a closet (or under someone's desk) that everyone connects to for shared files — that's your file server. It's the machine that hosts the "S: drive" or "shared drive" where you keep client folders, invoices, spreadsheets, and project files.

- You have very large files. Design shops, video producers, architects, and engineers working with huge files may find opening and saving over the internet frustratingly slow compared to a local server.
- You rely on older software that expects a local drive. Some legacy applications — certain accounting, medical, or industry-specific programs — are built to talk to a server in the building. Check compatibility before moving.
- You just bought a server. If your hardware is new, there's rarely a rush. Plan the move for its natural end of life.
- You have strict data-location or compliance rules. Some regulated industries have requirements about where data physically lives. Usually manageable, but worth confirming first.
The real costs (in plain, approximate terms)
Nobody can quote you an exact number without seeing your setup, but here's how to think about it:
- On-site server: Larger up-front cost (hardware every few years), plus power, occasional repairs, and someone to maintain it.
- Cloud storage: Lower up-front cost, but a steady per-user or per-storage monthly fee that continues as long as you use it.
Over several years the two often land in a similar range. The bigger differences are usually convenience, remote access, and who's responsible when something breaks — not raw dollars. Don't move to the cloud expecting big savings; move for reliability, access, and simplicity.
A realistic example
Picture a 15-person insurance office in Weymouth. Their server is six years old, half the staff now work hybrid, and they already pay for Microsoft 365 for email. Every remote login means fighting with a VPN.
For them, moving shared folders to SharePoint is close to a no-brainer: staff open files from anywhere, syncing is automatic, and there's no aging box to replace.

How to move without breaking things
If you decide to go for it, don't just drag folders and hope. A clean migration looks like this:
- Inventory your data. List every shared folder, roughly how big it is, and who uses it. You'll likely find old junk you can archive or delete first.
- Map out permissions. Note who should and shouldn't see each folder. This is the step most people rush — and regret.
- Pick your platform. Match it to tools you already use (Microsoft 365 → SharePoint/OneDrive; Google Workspace → Drive).
- Test with one team first. Move one department, let them work in it for a week, and fix issues before rolling out to everyone.
- Migrate in a low-traffic window. Evenings or weekends reduce disruption.
- Keep the old server read-only for a while. Don't wipe it immediately — leave it accessible (but locked from edits) as a safety net for a few weeks.
