    Office Wi-Fi Keeps Dropping? A Troubleshooting Guide

    When the Wi-Fi Won't Behave

    Few things kill a morning faster than a conference call freezing mid-sentence or the whole team suddenly losing their connection. If your office Wi-Fi keeps dropping, you're not imagining it — and the good news is that a lot of the causes are fixable without a technician standing in your server closet.

    This guide walks through the most common reasons small-office Wi-Fi drops, in the order worth checking. It's written for business owners and office managers who don't have IT staff. No jargon without a plain-English explanation.

    First, Narrow Down the Problem

    Before you touch any equipment, spend five minutes figuring out what is actually dropping. This saves hours later.

    Ask these questions:

    • Is it everyone, or one person? If only one laptop drops, the problem is likely that device — not your network.
    • Is it one room, or the whole office? A single dead zone points to coverage. Office-wide drops point to your router or internet.
    • Is it Wi-Fi, or the internet itself? Plug a laptop directly into your router or modem with an Ethernet cable (the wired network cable). If the wired connection is stable but Wi-Fi isn't, the issue is your Wi-Fi. If wired also drops, it's your internet provider or modem.
    • Does it happen at a certain time? Drops every day at 9 a.m. or 1 p.m. often mean too many devices hitting the network at once.

    Write down what you find. If you do end up calling for help, this is exactly the information that gets you a fast answer.

    The Quick Wins (Try These First)

    1. Reboot everything, in order

    It's a cliché because it works. Power cycle your equipment in this sequence:

    1. Unplug the modem (the box from your internet provider — Comcast/Xfinity, Verizon, etc.).
    2. Unplug the router (the box that broadcasts Wi-Fi).
    3. Wait 60 seconds.
    4. Plug the modem back in and wait for its lights to settle (2–3 minutes).
    5. Plug the router back in and wait another 2–3 minutes.

    Routers accumulate small errors over weeks of running. A clean restart clears them.

    2. Check for a firmware update

    Firmware is the software running inside your router. Outdated firmware causes dropouts and security holes. Log into your router's admin page (the login is usually on a sticker on the device) and look for a "firmware" or "update" section. Many modern routers update automatically — but many older ones don't.

    3. Confirm your equipment isn't ancient

    Consumer routers from a big-box store are built for homes, not 20 people on video calls. If your router is more than 4–5 years old, or it's the free box your provider handed you, that alone can explain constant drops. Business-grade equipment costs more up front but handles many devices far more reliably.

    Coverage and Interference Problems

    If certain rooms or corners always drop, you likely have a coverage or interference issue.

    Placement matters more than people think

    • Keep the router out in the open, not in a closet, cabinet, or under a desk.
    • Mount it high — on a wall or shelf — rather than on the floor.
    • Keep it away from thick walls, metal filing cabinets, and microwaves. Old South Shore buildings with plaster-and-lath or brick walls are notorious for blocking signal.

    One router usually isn't enough

    A single router can't reliably cover a 3,000-square-foot office. The fix is access points — additional Wi-Fi units wired back to your network that extend coverage seamlessly. A well-designed office often needs two, three, or more.

    Avoid cheap "Wi-Fi extenders" or "boosters" for a business. They often cut speed and create their own drop-outs. Proper wired access points are the business-grade answer.

    The 2.4 GHz vs 5 GHz thing

    Modern Wi-Fi broadcasts on two "bands" (frequencies):

    • 2.4 GHz reaches farther but is slower and gets crowded — every neighbor's Wi-Fi, plus baby monitors and Bluetooth, live here.
    • 5 GHz is faster but doesn't travel as far.

    If your building shares walls with other businesses (common in Braintree and Quincy office parks), the 2.4 GHz band can get badly congested. Good business equipment manages this automatically; older gear may need manual channel changes.

    Too Many Devices, Not Enough Network

    Every phone, laptop, printer, smart TV, thermostat, and security camera uses your Wi-Fi. In a 15-person office, you might have 60+ connected devices. A home router simply gives up under that load and starts dropping connections.

    Steps that help:

    • Put guests on a separate guest network. This keeps visitors' phones off your main network and reduces the load — and it's a security best practice.
    • Wire the things that don't move. Desktop computers, printers, and TVs should use Ethernet cable, not Wi-Fi. Every device you move to wired frees up airtime for everyone else.
    • Check your internet plan. If 30 people are streaming, calling, and uploading at once and you're on a small business plan, the bottleneck may be your internet speed, not your Wi-Fi.

    A Simple Troubleshooting Checklist

    Run through this in order the next time Wi-Fi drops:

    • [ ] Is it one device, one room, or everyone?
    • [ ] Does a wired connection stay stable?
    • [ ] Reboot modem, then router (wait between each).
    • [ ] Check for router firmware updates.
    • [ ] Confirm router placement is open and elevated.
    • [ ] Note the time of day drops happen.
    • [ ] Move stationary devices to wired connections.
    • [ ] Separate guest traffic onto a guest network.
    • [ ] Ask: is this equipment more than ~5 years old?

    When It's Time to Call for Help

    Some problems need tools and experience to solve — like mapping signal coverage across your floor plan, configuring multiple access points, or figuring out whether your internet provider is the real culprit. If you've worked the checklist and Wi-Fi still drops, that's usually the sign you've outgrown consumer gear and DIY fixes.
